Privacy and Data Usage Policy 

The board has approved following policy; it is communicated to and confirmed by signature of anyone who may be subject to its parameters: 

NACBH collects a variety of information and data points from conference registrants, members, partners and those engaged in association activitiesPlease take a moment to read the following to learn more about our information practices, including what type of information is gathered, how the information is used and for what purposes, to whom we disclose the information, and how we safeguard your personal information. 

Information Collection 

NACBH collects personal information in order to deliver a superior level of customer service. In order to facilitate online transactions and allow user access to Members-Only features, NACBH collects certain information such as names, addresses, membership IDS, and credit card numbers. In addition, your personal information helps us to keep you posted on the latest meetings, products, and events that you might like to hear about. 

The NACBH Web site requires you to provide personally identifiable information in order to use certain functions of the site. By providing such information, you consent to NACBH’s collection and use of it, as described in this Privacy Statement. 

The information you provide may include information collected during the registration process, including contact information (name, address, phone number, e-mail address) and financial information (credit card number). This information will be used to process your registration and, if necessary, to contact you regarding the status of your registration. 

NACBH will not ask your permission to collect or use aggregate information about Web site visitors or users of our products and services, since aggregate data does not identify you as a specific individual. 

Information Disclosure 

NACBH takes your privacy very seriously. Be assured that NACBH does not sell or rent your e-mail address to other companies. To help us provide superior service, we may share personal information with credit card processing companies, merchants, and any other third party that may need the information for your request to be processed. These organizations have their own privacy and collection practices, and NACBH is not responsible for their independent policies. At times we may be required by law or litigation to disclose your personal information. We may also disclose information about you if we determine that for national security, law enforcement, or other issues of public importance, disclosure is necessary. 

Service Delivery 

NACBH contracts with an Association Management Company, AMR Management Services, Inc., for the daily administration of NACBH’s business functions.  You agree that NACBH may share collected data for said purposes in the execution of the services provided.  Additionally, NACBH contracts with third party suppliers in the fulfillment of service delivery.  You agree to allow NACBH to share your personal data limited to the fulfillment of the service and understand that NACBH will require that all third-party suppliers abide these terms in their fulfillment of said services.   

Specific examples of the data required for full delivery on conference-related services are: 

  • ADA needs and dietary preferences/needs shared event staff, the conference hotel as well as off-site restaurants, caterers, vendors or venues providing services to the conference.  

  • Contact information (name, selected preferences) to confirm your rooming needs and your reservation at the conference hotel. 

  • Contact information (name, selected preferences) used to confirm travel or transportation arrangements, where appropriate.  

  • Emergency Contact information (name, phone number, relationship) used only to communicate with designated individuals in case of an emergency or crisis situation 

Payment 

Electronic payment for event registration is taken and managed through Payscape. Payments are processed in PCI compliant practices and information is storied only for the purpose of completing the transactions.  

Legal Disclosures 

It is possible that NACBH will need to disclose information about you when required by law, subpoena, or other legal process or if we have in good faith belief that disclosure is reasonable necessary to 1.) investigate, prevent, or take action regarding suspected ethics violations, actual illegal activities, or to assist government enforcement agencies; 2.) enforce our agreement with you; 3.) investigate and defend ourselves against any third-party claims or allegations; 4.) protect the security or integrity of our services; 5.) exercise the rights and safety of NACBH, you, personnel or others.  We will attempt to notify you about any legal demands for personal data when appropriate in our judgement, unless prohibited by a court of law or court order or when the request is an emergency.   

NACBH, our suppliers and/or partners do not share or sell your personal data with third parties for their direct marketing purposes without your permission.   

How to Opt-Out of NACBH Electronic Communications 

We may from time to time send you information about our programs, products, and services via e-mail messages. If you no longer wish to receive our e-mail newsletter or promotional messages, you may opt-out of receiving these communications by following the “unsubscribe” instructions in the e-mail message. 

Use of Cookies 

Like many Web sites, nacbh.org uses “cookies” and other technologies to help us understand which parts of the Web site are the most popular, where our visitors are going, and how much time they spend there. We use cookies and other technologies to study traffic patterns on our Web site, to make it even more rewarding as well as to study the effectiveness of our customer communications.
